Job Description:
Job SummaryThe HR and Payroll Administrator position works in
close relationship with the company's leadership. The position
requires fastidious attention to detail excellent judgment
regarding private information and an exceptional ability to
maintain an efficient and organized workflow for the payroll and HR
administration. This position will assist with employee and
supervisor questions on the payroll platform and potential HR
concerns. The role requires excellent knowledge of employment
regulations, federal and state-specific, and strong ability to
navigate all types of employment circumstances. The role requires
an exceptional ability to triage issues while maintaining an
efficient and organized workflow. The HR & PR Administrator plays a
critical role in providing accurate and accessible help regarding
payroll and human resources support.The identification of Essential

ResponsibilitiesSupports the company by implementing accurate
payroll and HR programs that will enhance and improve the employee
experience and subsequent business successServes as the human
resources point of contact and works effectively in all aspects of
HR with direction from the Senior HR Consultant and eventual Head
of OperationsRemains knowledgeable and up to date on changes and
developments of regulations and new company procedures as relates
to payroll and human resourcesExecutes ongoing HR activities such
as policy administration, on-boarding, off-boarding, employee data
maintenance, training, reporting, leaves, etc.Ensures payroll is
processed in an accurate and timely manner while working with the
payroll vendor to optimize the platform and correctly account for
all payroll deductions to third parties and tax authoritiesUses
Payroll System efficiently and can train and teach supervisors and
employees on its optimal useSupports and maintains all aspects of
the payroll tax function including monitoring quarterly tax reports
and year-end W-2 processingEnsures tax profiles for new hires are
setup according to their state and local jurisdictionsWorks with
finance to administrate Sales commissions and answer Sales Rep
questions regarding Fixed and Variable pay; may help to analyze
data and ensure correct commissions are reportedCollaborates on
payroll-related projects and initiatives; implements ongoing
improvement and use of the Payroll System, including assisting in
payroll/HRIS implementation for future mergers and
acquisitionsEnsures compliance with required wage and hour laws and
reporting requirements, including retirement funds, overtime,
garnishments, advances, paybacks, etc.Reviews payroll (daily in CA)
for outlying issues; audits monthly, quarterly, and annual
reporting as requiredAssists with timekeeping and daily attendance,
including follow-up for support of bi-weekly payroll
processingProvides reports and other information to assist HR team
in annual reporting for EEO1/Vets 100, ACA, non-discrimination
testing for benefits plans; etc.Manages various payroll audits and
works with Finance on projects and reportingResolves employee
questions related to pay, benefits deductions and ensures follow
upInitiates employee changes in the payroll system; confirms with
all necessary parties ensuring appropriate documentation has been
properly obtained and executedUpdates other relative employee
portals with new hire or employee information, tracks benefits and
administers necessary updatesAssists with separation document
preparation as needed and inputs data into necessary
portalsMaintains employee personnel files within Payroll System and
internal filesWorks Finance and Managers regarding employees'
enrollment in health and welfare benefits; assists with 401K
compliance testing and reportsReviews benefits billings and audits
against payroll deductionsInputs Leave of Absence information into
Payroll System and accurately tracks LOA while interacting with
employee as needed.Conducts new employee orientation, explaining
company policies and proceduresWorks with Managers and Supervisors
to actively recruit for needed positions fulfillment; posting open
job positions, updates and maintains recruiting records,
coordinates interviews as neededOversees the company's Performance
Review processManages interactions between and among staff and
escalates communication as appropriate; and handles employee
relations, as neededAssists with company eventsDemonstrates
excellent communication skills to receive and convey information
clearly and effectively at all levels of the organizationPossesses
excellent interpersonal skills to interact effectively with staff,
vendors and guestsHelps to identify continuous improvement in
payroll and HR administrative processes and offers solutions to
promote efficiencyAdheres to all company employment policies and
safe practicesSupports the company by implementing accurate payroll
and HR programs that will enhance and improve the employee
experience and subsequent business successPerforms other duties as
assignedExperience, Training, EducationBachelor's Degree, Human
Resources, Business, Accounting or another related field,
preferredHR Certification, a plus3+ years' experience in relevant
experience; 2-4 years of CA payroll processing and tax
administration experience preferredStrong working knowledge of
technical HR software, developing reports, creating presentations
and employee communicationFire Safety First complies with
California Pay Transparency requirements. The wage band for this
position is $75k-$95k annually.Benefits401K/Roth Retirement Option
