Lead Dental Implant Company is seeking a Commercial Operations Specialist to join the team as soon as possibleShift---M-F 8a-5pPay---$26+--The Commercial Operations Specialist is responsible for proactively organizing and overseeing the implementation and usage of several commercial operations administrative support functions such as the company automobile reimbursement program, VIP Marketing Customer Meetings/Visit Administration, travel and expenses to ensure organizational efficiency and effectiveness while providing administrative support activities to the marketing commercial operations team to ensure the effective day to day operation of the department at the site level. --ACCOUNTABILITIES ---------- --Maintains and organizes executive/management calendars, including recurring meetings, prioritizing appropriately and using good judgment in offering solutions to complex scheduling and meeting planning as needed.--------- --Point of contact for Marketing VIP customer meetings and facility tours; coordinate dates, logistics, conference room, travel/hotel arrangements, agenda, lunch, scheduling pre-meeting/conference call and on-site support.--------- --Organizes and coordinates vendor relationships providing services for on-site /off-site events while managing costs within budget (Transportation, meals, and social events).--------- --Leads and reconciles Concur travel/expenses and coaching Territory Sales Representatives on using the on-line tool.------- --Proactively oversees the automobile reimbursement program ensuring regular maintenance of adding/deleting sales associates, reviewing monthly Motus report for compliance and accuracy for all payment processing, and trains Territory Sales Representatives on using the mobile application.--------- --Manage onboarding/offboarding of IT equipment issuance to include laptops, cell phones/collection and ordering of business cards, name badges, company stationary and issuance of grip stock for Territory Representatives.------- --Manages in-office supply inventory for commercial marketing team.------- --Coordinate, monitor and respond to the daily workflow of sales administration personnel inquiries.------- --With exceptional attention to detail, reviews expense reports for compliance of indirect spend prior to approval--------- --Oversees CampusShip for all US sales associates------- --Orders and coordinates spiff awards & prizes following sales competitions.------- --Receives and sorts incoming postal mail. Sorts and date stamps all incoming mail for Accounts Payable Department. Date stamp and registers incoming customer payments in accounting check log, responsible for mailing to lock box for deposit--------- --Orders and maintains inventory of stock levels for office copier paper supply, toner, coffee supplies and condiments in addition to scheduling maintenance and repair services for coffee machines------- --Assist National Sales Trainer on resetting tests on NobelCampus for Territory Representatives.------- --Manages lead management flow routing Marketing Qualified Leads to the appropriate Sales Representative------- --Inventory management of sales literature------- --Occasional travel may be required in performance of this position.KNOWLEDGE AND ACCOUNTABILITIES------- --High School Diploma or equivalent; with 3-5 years administrative support experience required; or equivalent combination of education and experience.
