Job Description:

Now is your opportunity to join our company as a Bid Coordinator. The coordinator will provide administrative support to Chief Estimator and Estimating department by: Overseeing and managing the bid and proposal documentation process. Reviews and understands contract bid instructions and requirements. Compiles and formats internal information to meet contract owner---s specification. Orders plans, bonds and other documents as required. Assures insurance requirements are met. May include getting quotes. Understands and manages good faith efforts for DBE participation; ensuring the bid has been accurately solicited and that the good faith effort instructions have been met during the bid process. Pulls and organizes bid items electronically in Bid2Win and per owner specifications. Organize, manages and maintains all bid files, both electronically and paper. Completes prequalification packages by obtaining information from multiple sources. Providing general administrative support, including composition of routine and advanced correspondence, typing reports, etc. Maintaining calendars of appointments; interfacing in professional manner with company personnel and outside parties to coordinate meetings, conference calls, and appointments. Organizing and filing paperwork, including confidential and time-sensitive material; preparing presentations, maintaining records and data systems. Other duties as assigned. Knowledge, Skills and Abilities needed: Familiarity with basic standard concepts, practices and procedures related to office protocol. Effective verbal interpersonal communication skills: ability to handle sensitive, confidential and time-sensitive duties in a discreet manner while maintaining a strong customer service orientation. Able to effectively interface with all levels of staff in a professional and timely manner. Ability to read, analyze, and interpret technical procedures or governmental regulations. Excellent writing, grammar, and proofreading skills. Ability to multi-task, paying attention to details and maintaining exceptional accuracy in a deadline driven environment. Understands OSHA 300/300A safety logs and is able to accurately compile data and safety statistics for administrative purposes. Basic mathematical skills. Strong organizational skills, creativity, flexibility and independent judgment. Proficient personal computer skills including electronic mail, record keeping, routine database activity, word processing, spreadsheet, graphics, etc...; the ability and willingness to learn new computer programs. Preferred: University degree preferred. Five years of bid administration experience within a $100+ million construction company. Experience in non-negotiable bids (Public Works) and negotiable bids, good faith efforts, documentation control. Experience in Bid2Win software Strong Microsoft Office skills. Experience in Adobe or BlueBeam preferred. Experience in public and private works bidding software. Any equivalent combination of acceptable education, training, and experiences Job Requirements: Overseeing and managing the bid and proposal documentation process.
